Outlined Haven (“we,” “us,” or “our”) operates outlinedhaven.com (the “Site”). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using the Site or contacting us for a quote, you agree to the practices described below.

Information We Collect

When you request a quote or contact us, we collect the information you choose to provide, which may include:

• Name
• Phone number
• Email address
• Property address or service area
• Job type and any project details you share with us
• Photographs of your space, if you choose to upload them with an estimate request
• Anything you write in the optional notes field

We also automatically collect limited technical information, such as your IP address, browser and device type, pages visited, referring URL, and how you interact with the estimate calculator — for example which questions you answer and where you stop.

If you reach the Site by clicking an advertisement, the advertising platform adds an identifier to the web address (for example Google’s gclid or Meta’s fbclid). We record that identifier with your enquiry so we can tell which advertisement led to it.

How We Use Your Information

• To maintain records of our work and customer relationships

• To measure which advertisements lead to enquiries, so we do not waste money on advertising that does not work

We do not sell your personal information. The only personal information shared with advertising platforms is the scrambled (hashed) form of your name, email address and phone number described under “Cookies, Analytics & Advertising”, and it is shared solely so those platforms can tell us which of our own advertisements produced an enquiry. We do not provide your details to anyone for their own marketing.

Cookies, Analytics & Advertising

We use the following tools on the Site. Most set cookies or similar technologies; you can block or delete these through your browser settings.

• Google Analytics — aggregated usage data about how visitors move through the Site.
• Google Ads — measures which advertisements lead to enquiries. When you submit an estimate request, your name, email address and phone number are converted into a scrambled code (a one-way “hash”) in your browser and only that code is sent to Google, so it can match your enquiry to an advertisement you saw without receiving the details themselves.
• Meta (Facebook and Instagram) — the same purpose for advertising on those platforms. As above, contact details are hashed before they are sent. A copy of this measurement is also sent from our server rather than your browser, which is more reliable but does not collect anything additional.
• rex-analytics — analytics operated by Sovereign Digital Center, the provider that builds and maintains the Site. It records page views, clicks and estimate-calculator activity, along with your IP address, approximate location derived from it (city and postal area, not a precise position), device and browser details, and the page that referred you. It also records a replay of some visits — a reconstruction of what happened on the page, such as scrolling, clicks and which questions were answered — so we can find parts of the Site that are confusing or broken. The contact fields, the notes field and any photographs you upload are excluded from those recordings rather than captured. Only a sample of visits is recorded, and we do not use recordings to identify individual visitors. This data is held on Sovereign Digital Center’s own servers rather than by an advertising platform.

You can opt out of Google Analytics with the Google Analytics opt-out browser add-on. Your browser’s tracking-protection or ad-blocking settings will also stop most of these tools from loading.

Service Providers

We share information with service providers who help us operate the Site and our business. These providers only receive the information they need and are expected to keep it confidential. They currently include:

• Netlify — website hosting
• Google — analytics and advertising measurement
• Meta — advertising measurement
• Rudolf Exploration Inc. (Sovereign Digital Center) — builds and maintains the Site, and operates the rex-analytics service described above
• Our email provider — delivering your estimate to you and your enquiry to us

Some of these providers are located outside Canada, which means your information may be stored or processed in other countries and be subject to the laws of those countries.

Data Retention

We keep the information you provide only as long as needed to respond to your inquiry, complete your project, maintain accurate business records, and meet our legal obligations. You may ask us to delete your information at any time using the contact details below.

Your Rights

Depending on where you live, you may have the right to access, correct, or delete the personal information we hold about you, or to withdraw consent for its use. To make a request, please contact us using the details below. We will respond within a reasonable timeframe and in accordance with applicable law, including Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Security

We take reasonable steps to protect the information you share with us. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

Children's Privacy

The Site is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.

Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page reflects the most recent revision. Material changes will be posted on this page.
